2. What data we process, why, and on what legal basis

Website visit
When you visit our website, our hosting provider Squarespace processes technical data such as IP address, browser type, device and time of access to deliver and secure the site. Legal basis: legitimate interest (Art. 6(1)(f) GDPR).

Contact
If you email us or use a contact form, we process your name, email address and message to answer you. Legal basis: Art. 6(1)(b) or (f) GDPR.

Booking and rental
When you place an order, we process your name, billing and shipping address, email address, phone number, wedding date and order details, and payment data. We use this to conclude and fulfil the rental contract, ship the Equipment, send invoices and handle returns. Legal basis: contract performance (Art. 6(1)(b) GDPR). We retain invoices and accounting records for 7 years as required by Austrian tax and commercial law (Art. 6(1)(c) GDPR).

Footage
The Equipment records video and sound at your wedding. This Footage may show you, your guests and other people. We process the Footage only to edit and deliver your wedding film, for quality control, and to assess claims under our Video Guarantee. Legal basis: contract performance (Art. 6(1)(b) GDPR) and, with regard to guests, our legitimate interest in fulfilling the contract (Art. 6(1)(f) GDPR). We do not review the Footage for any other purpose.

Marketing use of Footage (only with your consent)
We use Footage or your finished film for our own marketing (for example on our website, social media or in advertising) only if you have given us separate, explicit consent. Consent is voluntary and has no effect on your order or price. You can withdraw it at any time with effect for the future by emailing hello@close.film; we then remove the content from our channels within a reasonable time. We do not share Footage with third parties for their own marketing. We never use nudity or content we consider inappropriate. Legal basis: consent (Art. 6(1)(a) GDPR).

Software and AI-assisted tools
We may use software tools, including AI-assisted tools, to edit and process Footage and to support our business operations. We do not use your Footage or personal data to train AI models. Providers of such tools act on our behalf as processors under data processing agreements. Legal basis: Art. 6(1)(b) and (f) GDPR.

Analytics (only with your consent)
We use Google Analytics to understand how visitors use our website. It is activated only if you accept analytics cookies in our cookie banner. It collects data such as pages visited, time on site and device information. Legal basis: consent (Art. 6(1)(a) GDPR). You can withdraw your consent at any time via the cookie settings or by installing the Google Analytics Opt-out Browser Add-on.

Email communication
We use Google Workspace for email. Messages you send us are processed there. Legal basis: Art. 6(1)(b) and (f) GDPR.

We do not make decisions based solely on automated processing that produce legal effects for you.

3. Recipients of your data

We share data only where necessary with:

  • Squarespace (website hosting and checkout)

  • Booqable (rental booking system)

  • Payment service providers (payment processing)

  • DHL (shipping and return of the Equipment)

  • Google (Workspace email, and Analytics if you consent)

  • Editing and AI tool providers (processing of Footage on our behalf)

  • Tax advisor and authorities, where legally required

4. Transfers outside the EU/EEA

Some providers (for example Google, Squarespace or Booqable) may process data outside the European Economic Area, including in the United States. Where this happens, we rely on an adequacy decision (such as the EU-US Data Privacy Framework) or Standard Contractual Clauses.

5. Storage periods

  • Order and invoice data: 7 years (legal retention duty)

  • Footage and edited film: deleted 6 months after delivery of your film, unless you ask us to keep it longer or to delete it earlier

  • Contact enquiries: until your request is resolved, then deleted after 12 months at the latest

  • Marketing content: until you withdraw your consent

  • Analytics data: as set in our Google Analytics settings (maximum 14 months)

6. Cookies

We use necessary cookies for the website and checkout to function. Analytics cookies are set only after you accept them in the cookie banner. You can change your choice at any time.

7. Your rights

Under the GDPR you have the right to:

  • access your personal data

  • have inaccurate data corrected

  • have your data erased

  • restrict processing

  • object to processing based on legitimate interest

  • receive your data in a portable format

  • withdraw consent at any time, with effect for the future

To exercise your rights, email hello@close.film. You can also lodge a complaint with the Austrian Data Protection Authority (Datenschutzbehörde, dsb.gv.at).

8. Guests and third parties

If you rent from us, please inform your guests that the event will be filmed and that the Footage will be processed by us as described above. Guests can contact us at hello@close.film to exercise their data protection rights.

9. Changes

We may update this Privacy Policy. The current version is always available on this page.
